RESPONSIBILITIES:

Provide executive administrative support to Advertising Director and general administrative support for direct reports including calendar management, travel arrangements, telephone support and other administrative support functions. Relay sales leads & collect information to and from numerous sales reps throughout U.S. Track competitors advertising activities. Manage advertising accounts, prepare & organize sales materials and media kits. Prepare and/or create sales sheets, presentations, other marketing and/or other sales materials etc. utilizing PowerPoint, Ms Word and/or Excel. Maintain effective lines of communication as well as interact professionally and in a tactful manner with all levels of employees throughout the AAA organization.

REQUIRED QUALIFICATIONS:

3+ years of high level administrative support experience in a fast-paced, multi-faceted, organization required. Expert typing and word processing skills. Strong computer skills including proven ability utilizing MS Word, PowerPoint and Excel. Must have excellent multi-tasking & organizational skills and be extremely detail-oriented. Expert communication and interpersonal skills required to maintain positive communications to all levels of employees and vendors throughout the AAA organization. Must possess strong reading, writing, grammar & editing skills needed to proofread, review, edit and/or update reports, contact lists, presentations, forms and other communication materials. Must have command of the English language and be able to express oneself effectively verbally, written, in person and/or over the telephone.

PREFERRED QUALIFICATIONS:

Previous administrative background in a sales environment in specific industries such as: Media, Advertising, Publications and/or Public Relations etc. are highly preferred. Knowledge of research experience a plus in coordinating the sales and follow-up materials for the field. Strong presentations skill set (create and facilitate) also a plus.
